1. Acceptance of Terms

By accessing or using CompletionOS (“the Service”), operated from Ontario, Canada, you agree to be bound by these Terms of Service (“Terms”). If you do not agree to these Terms, you must not use the Service. These Terms constitute a legally binding agreement between you and CompletionOS.

2. Description of Service

CompletionOS is a document collection and AI-assisted review platform. The Service helps businesses collect customer requirements through secure portals, review submissions using artificial intelligence, and prepare decisions for human approval. AI provides analysis and recommendations only — all final approvals, rejections, and correction requests are made exclusively by authorized human users within your organization.

3. User Accounts

You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You must notify us immediately of any unauthorized use. Each organization account may have multiple users based on their subscription plan. The account owner is responsible for managing user access and permissions within their organization.

4. Subscription and Billing

CompletionOS offers multiple subscription plans (Starter, Professional, Business) with varying features and limits. All new accounts receive a 14-day free trial with no credit card required. After the trial period, a paid subscription is required to continue using the Service.

  • Plan upgrades take effect immediately. Billing adjusts on your next renewal date.
  • Plan downgrades also take effect immediately with billing adjusted at renewal.
  • Cancellations take effect at the end of the current billing period. You retain access until that date.
  • You may resume a cancelled subscription at any time before the cancellation effective date.
  • Payments are processed securely through Stripe. CompletionOS does not store your payment card details.

5. Customer Portals

When you create a case, your customers receive a secure portal link. Your customers do not need to create an account to use the portal. Portal links use unique, non-guessable tokens. You are responsible for sharing portal links only with intended recipients. Portal access can be revoked by changing the case status.

6. Data Ownership and Content

You retain ownership of all content uploaded to CompletionOS, including documents, forms, and customer information. You grant CompletionOS a limited license to process, store, and display your content solely for the purpose of providing the Service. We do not use your content to train AI models or share it with third parties except as required to provide the Service (e.g., AI review processing).

7. Acceptable Use

You agree not to:

  • Use the Service for any unlawful purpose or in violation of any applicable laws
  • Upload malicious content, viruses, or harmful files
  • Attempt to gain unauthorized access to our systems or other users' accounts
  • Use the Service to collect information in violation of privacy laws
  • Resell, redistribute, or sublicense the Service without authorization
  • Interfere with or disrupt the Service or servers connected to the Service

8. AI Disclaimer

The AI-powered review features of CompletionOS are designed to assist your team, not replace professional judgment. AI reviews may contain errors or inaccuracies. You acknowledge that:

  • AI confidence scores are probabilistic and not guarantees of accuracy
  • AI analysis should be verified by qualified personnel before acting on it
  • CompletionOS is not a substitute for professional legal, financial, or compliance advice
  • You are solely responsible for all decisions made using the Service

9. Limitation of Liability

To the maximum extent permitted by applicable law, CompletionOS and its operators shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, business opportunities, or goodwill, resulting from your use of or inability to use the Service. The Service is provided “as is” and “as available” without warranties of any kind, express or implied.

10. Termination

We may terminate or suspend your account immediately, without prior notice, for conduct that we determine violates these Terms, is harmful to other users or the Service, or is otherwise objectionable. You may cancel your subscription at any time through your account settings. Upon termination, your data will be retained for 30 days to allow for recovery, after which it may be permanently deleted.

11. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the Province of Ontario, Canada, without regard to its conflict of law provisions. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts located in Ontario, Canada.

12. Changes to Terms

We reserve the right to modify these Terms at any time. We will provide notice of material changes by email or through the Service. Your continued use of the Service after changes are posted constitutes acceptance of the updated Terms.
